We’re looking for an Office Manager and C-Level Assistant to join us in the coming weeks. This is a hands-on role where you’ll be the go-to person for all things office- and operations-related. Since we’re moving to a coworking space, your focus will be less about managing a physical office and more about keeping things running smoothly across the coworking space, company equipment, invoices, benefits, and employee support.
We’d like to start with a fully paid trial week so both you and we can quickly check if we’re a good match.
What you’ll do:
coworking space coordination (City Space Novo, Al. Jerozolimskie): contact with Community Manager, reporting issues, confirming bookings, managing meeting room credits and access cards, monitoring extra paid services (printing, rooms, etc.),
managing company equipment: maintaining the device register, ordering hardware for new joiners and projects, handling returns and repairs,
invoices: monitoring Revolut payments, verifying invoices, and sending them to accounting,
couriers: booking shipments, preparing customs documents, and contact with the agency,
benefits: managing Multisport and Saltus (add/remove people, verify invoices, update payroll deductions),
employee anniversaries & small celebrations: ordering gifts, preparing cards,
supporting team events and integrations,
handling tasks from the CEO and CxOs.
What we’re looking for:
experience in office management or a similar role is a plus, but not a must,
what really matters are strong organizational skills, initiative, and the ability to get things done,
you’re the type of person who doesn’t wait for instructions: when something doesn’t work, you step in and fix it,
a “yes” mindset – proactive, solution-oriented, and open to taking on different kinds of tasks,
English at a minimum B2 level,
availability to start within a short notice period.

salary: 5-9K PLN net on B2B,
