Office Manager/C-level Assistant

6000 - 9500 PLN net/month - B2B

5000 - 8000 PLN gross/month - CoE

We’re on the lookout for an Office Manager/C-level Assistant to join our awesome People team. You’ll focus on solid support for the CEO and taking care of everything connected with the office located right in the heart of Warsaw at 46 Wilcza Street.


  • Requirements: at least 1-2 years of professional experience in a similar position and at least B2 level of English in written and spoken

  • Salary: 6-9,5K on B2B + up to 26 paid holidays or 5-8K gross on a contract of employment (UoP).

You'll be:

Managing the whole intent office (46 Wilcza Street):

  • taking care of the office (ordering stationery, furniture, food, coffee, hygiene articles, etc.)

  • parcel dispatch (which needs improvement btw!)

  • vendor management and contract negotiation,

  • managing office budget and company invoices,

  • support for the employees (be aware that everyone wants everything done yesterday…),

  • looking for and delivering improvements aimed at building a positive atmosphere and innovative place to work (this is crucial!);

Supporting the C-level Executives in their daily work:

  • help with daily time management,

  • plan travel, including flights, accommodation, and ground transportation,

  • coordinate events and speaking engagements;

Supporting People team in HR initiatives:

  • researching,

  • building teams events management,

  • taking care of personnel documentation,

  • managing internal benefit programs such as medical care, Multisport cards, and others.


What we expect:

  • English skills on at least a B2 level (both written and spoken),

  • at least 1 year of professional experience in a similar position, preferably in the software house,

  • ability to work under pressure (of time and people :))

  • proactiveness and creativity,

  • responsibility for entrusted tasks,

  • time management and interpersonal skills, being a tech enthusiast - awareness of new technologies and being up to date with them would be a great fit to our culture!

Tools you’ll use:

  • Jira, Confluence.

  • Slack, Zoom, GSuite.

Recruitment process:

  1. Interview with HR person (30-45 mins).

  2. Interview with Head of People team (60 mins)

  3. Final feedback received within a couple of days after the interview.

First 3 months at intent:

We are really keen on having a mutual fit with you, so the general aim of the first 3 months is to find out if we go together like peanut butter and jelly. Joining intent means joining the people who create it, not a specific project, so if the one you have does not fit you, you will have a chance to change it.

For the first week, you will be getting to know your team, the company and its values, and the tools we use. You can count on HR, your buddy, and your team, in general, to help you with all the new information. You will also receive your first tasks. You can expect constant feedback coming from your leader.

After each month passes, you will meet with an HR representative to share your thoughts and impressions and to hear what others say about your work. After the second month, your team leader and an HR person will meet with you to discuss your probation period and the next steps we want to take – continue cooperating with you, fix some issues we see or part our ways. After the third month, you will be a fully-fledged intent employee!
